I lost something at the library. What do I do?

When a lost item is found it is taken to the University Lost and Found immediately. The University Lost and Found is located at the Student Union main desk.

Lost i-Cards are dropped off at the i-Card Center every Mon-Fri at 8:30am. The i-Card Center is located in the Student Affairs Building.

I have a fine/fee on my library account! What do I do?

Library fines and fees will accrue on your account if you have overdue or lost (overdue for more than 35 days) items. These fines cannot be paid with your I-Card.

If you still have the overdue/lost item in your possession, simply return it and we will work to begin waiving your fines.

How many DVDs can I borrow and for how long?

Students, staff, and faculty can check out 3 DVDs at a time for 7 days with no renewals.

Special Borrowers (i.e. Alumni and Friends of the Library) can check out 1 DVD at a time for 7 days with no renewals.

How many books can I borrow?

You can check out as many books as you like.

How long may I keep Interlibrary Loan (ILL) materials and may I renew them?

The lending library determines the loan period, restrictions, and renewal policy for its materials. Every effort should be made to complete work with Interlibrary Loan (ILL) materials within the original loan period. Renewal requests may be submitted via the user’s MY ILL account, however some libraries stipulate their materials cannot be renewed. Interlibrary Loan (ILL) books cannot be borrowed for a whole semester.

How long does it take to receive an item requested through Interlibrary Loan (ILL)?

The normal turnaround time for Interlibrary Loan (ILL) requests is 1-2 weeks for print books, and 2-3 days for articles.

Many factors play a part in how long it takes an Interlibrary Loan (ILL) request to be processed. Factors include how many libraries will lend the item, where the lending libraries are located, and the lending library’s willingness or ability to fill the request, etc. It is essential that borrowers submit Interlibrary Loan (ILL) requests early enough to allow enough time for materials to arrive. Incomplete and/or inaccurate citations often slow processing time. Users should consult a Librarian for help completing citations.

How long can an undergraduate check out a book for?

General Collection Books Loan Period = 4 Weeks Renewals = Yes. Up to 16 weeks total

Popular Collection Loan Period = 4 Weeks Renewals = Yes. Up to 8 weeks total

Feature Films Collection Loan Period = 7 Days Renewals = No Item Limit = 3

Library of Things Loan Period = 7 Days Renewals = No Item Limit = 3

Curriculum Collection Loan Period = 4 Weeks Renewals = Yes. Up to 8 weeks total

Video Collection Loan Period = 4 Week Renewal = Yes. Up to 8 weeks total

I-Share Loan Period = 4 weeks Renewals = Yes. Up to 16 weeks.

How do I use the scanner?
  1. Find the scanner on the 2nd floor of the library in the printing section.
  2. Accept the T&Cs
  3. Select "Use Shopping Cart"
  4. Place the text you need scanned FACE UP on the scanner.
  5. It will probably scan automatically but you can also press the scan button.
  6. The scan will immediately show up on the screen. You can crop the pages to your liking using the touch screen.
  7. Once you're happy. Get your next page ready and click the scan button. The previous scan will automatically go into your shopping cart.
  8. Repeat steps 4-7 until you've scanned everything you need.
  9. When you've finished scanning, open your shopping cart.
  10. Here, you can delete pages, move pages around, and chose where to send your scans.
  11. Choose an option: Print or Email
  12. For email, chose the options you'd like, and type in your email address using the touch screen keyboard.
  13. For printing, click the options you need and click next.
  14. Type in a name for your printing job using the keypad.
How do I use the library's new catalog?

In order to continue to provide access to I-Share, Brookens Library had to migrate to a new search software which necessitated several changes to our previous search interface.

  • You can reach out to your liaison librarian for assistance and support as you normally would.
  • The Librarians will also be maintaining a chat reference service, accessed via the Library homepage, and can answer your questions there as well.
  • If you need more in-depth assistance, you can schedule a consultation with a Librarian who will assist you with whatever you may need.
Is my book ready to be picked up?

When your requested materials are ready for pick up at Brookens Library, you will receive a Hold Shelf letter via email. You may pick up your materials when the library is open.

You can also log in to your Library Account and check the status of your requested materials there, as well.

Is the scanner open for public use?

Yes, anyone can use the scanner and printers. The printers cost a small fee (10 cents per page for black/white, 25 cents per page for color), which you can pay at the library main desk.

Is there a gender neutral restroom in the library?

At this time there is no gender neutral restroom in the library. The nearest facilities are in the Public Affairs Center (PAC) located on the first floor around the corner from the Bursar's Office, and in University Hall (UHB) located on the first floor in the Admissions and Records office area.

If I attend Orientation do I have to attend the Welcome Week program?

Yes, UIS’s mandatory orientation program has three parts. The first part is the online orientation in Canvas, our learning management system. Then students will attend the 1-day program called Orientation which focuses on big-picture activities like advising and registration. New Student Welcome is the last part of our mandatory programs, held right before classes start August 19 - 23, that will help prepare you for your first semester of college.

What is the difference between I-Share and Interlibrary Loan (ILL)?

They are both ways to obtain books from other libraries. If a book is owned by one of the other I-Share libraries in Illinois, then patrons are required to request from them first. The patron requests the book directly from the online catalog (I-Share Catalog). If the book is not available, or has been requested and not filled by an I-Share library, then patrons may request it through Interlibrary Loan (ILL). The Interlibrary Loan (ILL) department will then request the book from libraries outside the I-Share system. (If requested and unfilled from I-Share, please indicate this in the comments section of the Interlibrary Loan (ILL) request form.)

What is the cost for Interlibrary Loan (ILL)?

Charges for Interlibrary Loan (ILL) services are subsidized by Brookens Library and not passed on to the user. However, users are responsible for the cost of shipping materials back to Brookens Library if returned by mail. Loans obtained via Interlibrary Loan (ILL) become the borrower's responsibility from the time of receipt until the material is physically returned to Brookens Library. Users will be responsible for costs incurred due to lost or damaged items.

What is the charge for a lost book?

The charge for a lost book is $75. Lost book fees are waived upon return of the item in good condition; or you can purchase a replacement of the lost book.

What is Interlibrary Loan (ILL)?

Interlibrary loan (ILL) is mediated service that enables the library to obtain books and articles from other libraries across the country and occasionally internationally. Through this service, Brookens Library assists the scholarly research of UIS faculty, students, and staff.

What happens if a library item I check out is lost or damaged?

What does a scholarly article look like?

Scholarly articles typically include:

  • a list of authors and their affiliations
  • an abstract (summary)
  • an introduction
  • charts, graphs, equations
  • methods
  • results
  • a conclusion
  • a bibliography
  • scholarly language
  • written by an author that is an expert in the field (PhD, etc).

What do I do when I get a databases says I'm not entitled to access this resource?
If while trying to do research or accessing an article you encounter an error that says "Forbidden, you are not entitled to access this resource," visit our Databases A-Z list and try accessing the database you're looking for from there.
What can I borrow from the Library of Things?
University students, faculty, and staff can borrow home and kitchen items, board games, and technology equipment. The Library of Things page contains a complete catalog of available items.

What are the hours for UIS Archives/Special Collections and IRAD?

The UIS Archives and Illinois Regional Archives Depository (IRAD) are currently open, but we are in the process of hiring a new archivist. Our resources are limited at this time and we are largely unable to book appointments. You can call (217) 206-6520 or email archives@uis.libanswers.com with any questions about the archives or IRAD.

Due to Secretary of State rules, IRAD interns cannot return email or voice message requests for records or information. They must receive a mailed request, a phone call, or a voicemail containing your name, mailing address, and the criteria for your record search in order to help you. An IRAD intern is currently on site from 8:00am - 1:00pm, Monday-Thursday. If you reach an intern via a method other than telephone, they will reach back out to you via mail.

May I request course required materials via Interlibrary Loan (ILL) for my classes?

Yes, but only through I-Share. The Interlibrary Loan (ILL) department cannot request course required materials of any kind.

Though we understand that prices are high, the library is unable to borrow course required materials via Interlibrary Loan (ILL). Why?

  1. Most libraries in the United States do not include textbooks as part of their collection development policies. Therefore, it can be extremely difficult to locate a library that owns any edition of the needed title (much less the exact edition being used in any given semester.) Even if an edition is located and borrowed, it could be well into the semester before the book arrives.
  2. Books borrowed through Interlibrary Loan (ILL) usually take one to two weeks to arrive after they have been located, which results in further delays for the student.
  3. Interlibrary Loan (ILL) due dates are relatively short, on the average two weeks. Some libraries will allow a 1 to 2 week renewal while others will not. Rarely is a student able to keep the book for the whole semester.
  4. There are not enough copies of textbooks in libraries to accommodate requests for an entire class as demand almost always exceeds supply.
  5. Failure to return the items when due often leads to the library’s borrowing privileges being suspended by the lending library. As a result, all patrons suffer when we cannot borrow books from those lenders.
May I borrow entire journals via Interlibrary Loan (ILL)?

No, you may not borrow an entire journal. The Interlibrary Loan (ILL) department can order articles from journals following copyright laws, but the journal itself may not be borrowed in its entirety.
