Comprehensive Mail Services for the UIS Campus Community

Mail Services processes all incoming United States Postal Service (USPS), United Parcel Service (UPS), Federal Express/Ground (FedEx), DHL, Airborne, intercampus and outbound USPS mail and outbound UPS packages. We also provide preparation services to turn your mailing list into a successful mailing, large or small, to your specifications at the most affordable price.

The campus mail system is a restricted service available for official university business essential to the activities of the institution and is not for personal use, private gain, or use by non-University groups for the advertisement of programs or political endorsements not sponsored by the University.

Delivery of printing and duplicating jobs

Campus Services offers delivery of printing and duplicating jobs. This service is provided once daily, in conjunction with your mail delivery. Simply complete the fields on the job request form to note your desired campus delivery location.

When sharing your office mail address for incoming mail, please include your Mail Stop, or MS. You do not need to include a mail stop when providing your physical location for driving directions to your location.

Example for incoming mail:

Jane Doe
University of Illinois Springfield
One University Plaza, MS BSB 139
Springfield, IL 62703-5407

When addressing outgoing envelopes and packages from your office, it is best to follow USPS' addressing guidelines.

Some places on campus have a physical (GPS) address that is different than a mailing address. Review the list of GPS and mailing addresses for common campus locations.

How to prepare mail for pick-up by Mail Services

External and inter-campus mail will be delivered to and picked up from designated campus mail stops. Please separate domestic from international mail.

  • Outgoing USPS mail should be bundled with all mail pieces facing the same way.

  • Outgoing mail received by 3:30 p.m. will be processed on that day.

  • UPS shipments must be accompanied with a completed UPS form and a signed bar coded mail authorization slip. Mail authorization slips can be requested by contacting us.
  • You will receive a receipt from the mail room indicating the date your parcel was shipped and the UPS tracking number. To track the shipment, simply visit UPS online and enter the tracking number.
  • Outgoing UPS packages received by 3:30 p.m. will be processed on that day.

List preparation

Preparing your mailing list is the first important step when working with us on a mailing request. Read our tips for creating a mailing list.

Standard mail

Standard mailings that are designed to be machine processed along with first-class mail increases the delivery speed to nearly match first-class mail at a greatly reduced cost.

Tips for standard mail

  • International addresses do not qualify.
  • The mail piece cannot contain subject matter considered to be first-class mail content.
  • Each mailing must contain a minimum of 200 pieces.
  • Each mailing must be identical in size, weight, envelope, and content including paper color.
  • Each piece must have a complete return address that includes “University of Illinois Springfield.”
  • Each piece should have a printed indicia noting mail class.
  • The mail list must be run through NCOA before the mailing is processed.
  • Standard Mail is neither forwarded nor returned by USPS without an endorsement; undeliverable mail is recycled.
