Mail Services and Central Receiving
Mail Services processes all incoming United States Postal Service (USPS), United Parcel Service (UPS), Federal Express/Ground (FedEx), DHL, Airborne, intercampus and outbound USPS mail and outbound UPS packages. We also provide preparation services to turn your mailing list into a successful mailing, large or small, to your specifications at the most affordable price.
The campus mail system is a restricted service available for official university business only, and is not for personal use, private gain, or use by non-university groups for the advertisement of programs or political endorsements not sponsored by the University.

Incoming Mail

When sharing your office mail address for incoming mail, please include your Mail Stop or MS. You do not need to include a mail stop when providing your physical location for driving directions to your location.

Amazon Incoming Deliveries

Amazon deliveries for students and employees must be addressed properly to ensure delivery to the correct location.

Many campus locations have a physical (GPS) address that is different than a USPS mailing address.
Outgoing Mail

Follow USPS addressing guidelines when preparing outgoing mail to ensure prompt delivery by the Postal Service.
How to prepare mail for pick-up by Mail Services
External and intercampus mail will be delivered to and picked up from designated campus mail stops. Please separate domestic from international mail.
USPS

- Outgoing USPS mail should be bundled with all mail pieces facing the same way.
- If postage is not already applied to outgoing mail, submit a barcoded mail authorization slip signed by the account representative with each bundle of letters or flats. Mail authorization slips can be requested by contacting Mail Services.
- Outgoing mail received by 2:30 p.m. will be processed on that day.
UPS

- UPS shipments must be accompanied by a completed UPS form (pdf) and a signed barcoded mail authorization slip. Mail authorization slips can be requested by contacting Printing Services.
- You will receive a receipt from the mail room indicating the date your parcel was shipped and the UPS tracking number. To track the shipment, simply visit UPS online and enter the tracking number.
- Outgoing UPS packages received by 2:30 p.m. will be processed on that day.

Mailing List Preparation

Preparing your mailing list is the first important step when working with us on a mailing request. Review our tips for creating a mailing list.
Formatting your mail list is key to helping us streamline the process of creating a mailing for you and to make it as affordable as possible.
Tips:
- Your list should contain separate fields for first name, last name, street address (including apartment, suite, or box number), city, state, and zip code, with up to three address fields.
- Company or campus names should be listed as first name, last name or as an address field.
- First name and last name cannot be blank fields.
- Your list should not contain any international addresses, as these will not be processed.
- Your list should contain a minimum of 200 deliverable names and addresses.
- Campus address mail lists must be submitted in a separate file from USPS street addresses.
- Attach/include a job request form with your email to UIS Mail Services. Indicate the mailing associated with the list, and include the contact person’s name and department in case there are any questions.

Standard Mail

Standard mailings that are designed to be machine-processed will increase the delivery speed while reducing the postage. Keep this information in mind if you are preparing to use Standard mail:
- International addresses do not qualify.
- The mail piece cannot contain subject matter considered to be first-class mail content.
- Each mailing must contain a minimum of 200 pieces.
- Each mailing must be identical in size, weight, envelope, and content including paper color.
- Each piece must have a complete return address that includes “University of Illinois Springfield.”
- Each piece should have a printed indicia noting mail class.
- The mail list must be run through NCOA before the mailing is processed.
- Standard Mail is neither forwarded nor returned by USPS without an endorsement; undeliverable mail is recycled.
General Mailing Tips and Reminders
Personal Purchases

Central Receiving is designed to handle university business-related deliveries only. While we currently accept some personal packages, we cannot guarantee their condition, status, or timely delivery. Additionally, personal items will not be delivered across campus, as this would require university resources intended for institutional use. We recommend shipping personal purchases to your home address whenever possible.
Order Tracking

Individual units are responsible for tracking the status and shipment details of their orders. Central Receiving staff do not have access to all purchase information and cannot track every order.
Expedited Deliveries
+
If your unit is expecting an expedited delivery, please notify Central Receiving in advance so we can assist as needed.
Delivery Schedule - Holidays and Weekends

Central Receiving does not operate year-round. When placing orders, please consider university closures (weekends and holidays) to avoid delays.
