Special Group Visitor Policy

UIS campus conference visitors may use TRAC (Fitness Center and Arena) for a fee as a Special Group while they are on campus attending the UIS sponsored conference.

The UIS sponsoring department or office shall submit to the Department of Campus Recreation a request including the following information at least three business days before the beginning of the conference:

  • the name of the conference
  • the period of time the conference is being held at UIS
  • a list of the conference attendees
  • the UIS sponsoring department or office contact person.

The conference visitor wishing to use TRAC shall submit a photo I.D. (example driver’s license) to the Front Desk Attendant on duty upon entering the building. If the I.D. name matches the name on the conference attendees’ list, the conference visitor shall then be granted permission to use TRAC upon paying per visit the $5 special group fee.  This means that the conference visitor shall pay the $5 special group fee each time s/he checks into TRAC to use the facility even if it is more than one time a day.

Conference visitors shall be able to check out equipment during their workout time in TRAC only.  Conference visitors do not have the following benefits:

  • no extended equipment check-outs (i.e., equipment checked out overnight or for multiple days).
  • no Guest Policy Benefits (i. e., not able to host and sign-in guests and or family members).

U of I Sister School Visitor’s Policy

University of Illinois sister school visitors may use TRAC for a fee as a Special Visitor while they are visiting the UIS campus.

Currently enrolled students and employed faculty or staff from a University of Illinois sister school or affiliated office (such as UIUC, UIC, Extension Office, etc.) shall be eligible to use TRAC as a sister school visitor. The sister school visitor wishing to use TRAC shall submit his/her UI i-card to the Front Desk upon entering the facility. After determining eligibility, the sister school visitor shall then be granted permission to use TRAC upon paying per visit the $5 special visitor’s fee. This is not a daily fee; it is a $5 per entry fee, even if using the facility more than once in a day.

Sister school visitors shall be allowed the following benefits:

  • able to check out equipment during their workout time in the Rec Center only
  • same Guest Policy benefits as a Rec Member (i.e., able to host and sign-in guests and/or family members).

Sister school visitors do not have the following benefits:

  • no extended equipment check-outs (i.e., equipment checked out overnight, for multiple days, or outside of TRAC)

Winter Pass

What is a Winter Pass?

The Winter Pass is a full Rec Membership from November 1 – March 15 each year.

Who is eligible to purchase a Winter Pass?

The following affiliates are eligible to purchase a pass:

  • Online-only degree seeking UIS students
  • Current FT and PT UIS Academic Professional Staff
  • Current FT and PT UIS Civil Service Staff
  • Current FT and PT UIS Extra Help Employee Staff
  • Current FT and PT UIS Faculty
  • Faculty Emeritus and Retired Staff
  • Spouse/Partner of Eligible Employee Member (Eligible Employee Member must be present at time of purchase)
  • Persons residing in campus housing for the current term (verification from Housing required)
  • University of Illinois Sister School or Affiliated Office
  • Spouse/Partner of Eligible Student Member (Eligible Student Member must be present at time of purchase)
  • Alumni with Sustaining or Life Member status of the University of Illinois Alumni Association (restricted to UIS graduates only; status must be verified through UIS Alumni Office before purchase can be made; verification is not guaranteed same day)
  • Spouse/Partner of Eligible UIS Alumni Member (Eligible to Spouses/Partners of Alumni with Sustaining or Life Member status; eligible UIS Alumni Member must be present at time of purchase; please bring verification of relationship with you at time of purchase)

Passes are not transferable to other people; passes can only be used by the purchaser of the pass.

How much does a Winter Pass cost?

The cost is $150 with a valid UIS i-card and proof of eligibility. Visa and Mastercard are the accepted forms of payment for the Winter Pass.

Where can I purchase a Winter Pass?

  • Winter Passes can be purchased in the Campus Recreation Office Monday through Friday, 8:30am- 5:00pm.
  • Passes can also be purchased outside of these office hours- please ask about it at the Front Desk.
  • Only (1) Winter Pass can be purchased at a single time by a single individual.

Single-use Pass

What is a Single-Use Pass?

The Single-Use Pass is a pass that can be purchased which allows the purchaser a one-time use of TRAC.  It is only valid for use at TRAC and only at the time of purchase

Do I have to sign a waiver for each use?

Yes.  A waiver must be signed upon each Single-Use Pass.  Guests of Single-Use Pass purchases must also sign a waiver (see Guest Policy).

How do I use the Single-Entry Pass?

  • Users must show a valid UIS i-card to the Front Desk Attendant and request a supervisor
  • Upon verification, a waiver will be completed by the individual and a receipt will be filled out by the Front Desk Attendant.  Campus Recreation will serve as the host.
  • Users will receive the same benefits as Rec Members as it relates to programs and services in TRAC.  These benefits are available for the duration of the pass.  An exception to this is that users will not have extended equipment check-out privileges or be eligible to participate in intramural sports with this pass.
  • Users with Single-Use Passes may host guests via our Guest Policy.
  • Users and their guests must abide by all policies and procedures of the Department of Campus Recreation at the University of Illinois at Springfield.

Multi-Use Pass

What is a Multi-Use Pass?

The Multi-Use Pass is a pass which allows cardholders 12 uses at TRAC for the price of 10. The pass is valid for one year from the date of purchase and is only redeemable for use at TRAC.

Do I have to sign a waiver for each use?

Cardholders do not have to sign multiple waivers.  When one purchases a pass the initial waiver will be valid for each of the 12 uses- void if pass expires.  If a cardholder uses the pass to host individuals, those being hosted are required to sign a waiver each time (see Guest Policy).

How do I use the Multi-Use Pass?

  • Cardholders must show a valid UIS i-card and Multi-Use Pass to the Front Desk Attendant.
  • Upon verification, the Front Desk Attendant will mark the pass for that use (multiple uses if using pass to host).
  • Cardholders will receive the same benefits as Rec Members as it relates to programs and services in TRAC.  These benefits are available for the duration of the pass.  An exception to this is that cardholders will not have extended equipment check-out privileges or be eligible to participate in intramurals with this pass.
  • Cardholders may use the Multi-Use Pass to host guests via our Guest Policy.

What are the benefits?

  • Fewer transactions and reduced service time at the Front Desk than if purchasing the equivalent number of Single-Use Passes.
  • Fewer waivers to sign.
  • 12 uses for the price of 10

What else do I need to know about Multi-Use Passes?

  • At the time of purchase, 12 uses are added to your i-card.
  • You will need to have your i-card each time you enter TRAC.
  • Your i-card will be swiped at the Front Desk each time and have one use deducted.
