Time Sensitive Residence Life Update – COVID-19 Move Out

Dear Residential Students,

As we continue to respond to the COVID-19 pandemic, we have made the decision to strictly limit occupancy of on-campus housing for the remainder of Spring 2020. We are requiring all students who can safely do so to return to their permanent home address to take their classes remotely for the rest of the semester.

This email is to inform you that residential students who don’t meet approved exceptions will be expected to check out of their space by the dates and times listed below—checking out no later than 6 p.m. Friday, March 20.

We are asking each individual resident to complete the UIS COVID-19 Residence Life Closing Form as soon as possible, or within 24 hours of receiving this message. This will help us identify the number of students currently on campus and ensure all residential students have received this message. Should you not complete the form within 24 hours, a staff member from Residence Life will call you to complete this form.

When do I need to leave campus and complete my checkout?
The deadline to leave campus and complete a checkout is 6 p.m. Friday, March 20. To encourage social distancing and mitigate congestion in the halls and parking lots, we are requesting that students check out during the following assigned days/times:

What if I am unable to checkout during my assigned time as listed above?
If you have extenuating circumstances that significantly impact your ability to checkout during the above times, you may request approval for an exception through the UIS COVID-19 Residence Life Closing Form. We may not be able to accommodate all requests, and we strongly encourage you to checkout by the 6 p.m. deadline on Friday, March 20.

Can I apply for permission to remain living on campus?
Due to the heightened concern for safety, limited exceptions are being allowed at this time. Should you need to request an exception, you can do so via the UIS COVID-19 Residence Life Closing Form referenced above. All requests will be reviewed by a committee within 24 hours. If you are approved to remain on campus past the closing deadline, you will be notified by a member of Residence Life staff and will receive further instructions at that time.

Should I take my personal belongings?
Yes. You should take all of your personal belongings with you when you check out. If you are concerned about your ability to remove and/or store your personal belongings, area businesses (such as U-Haul) have begun implementing programs for free temporary student storage. Please contact them for more information.

How do I return my keys and complete my checkout?
All checkouts will be Express Checkouts ONLY — no individual appointments will be scheduled. Within the next 24 hours, each student will receive a pre-labeled key packet at their room/unit (they will either be slipped under your door or taped to your door). Once you have removed your personal belongings from your room/unit, place your keys in the pre-labeled envelope and come to a checkout location to complete your checkout with a Residence Life Staff member. If you live in a Residence Hall, your checkout location will be at your hall desk. If you live in an Apartment or Townhouse, your checkout location will be at the Residence Life Office (HCOM). Staff will be available to check you out at each of these locations from 9 a.m. to 6 p.m. on Wednesday (3/18), Thursday (3/19) and Friday (3/20).

Will I be issued a refund for my campus housing and/or meal plan?
Students who check out can expect to receive a prorated campus housing credit based on the number of days that remain on the student’s contract. For students who check out of their on-campus space, up to 40% of their current individual meal plan balance will be credited to their student account. The credit(s) will be posted to your student account within 14 business days of your checkout.

How will Residence Life operations be affected?
Due to heightened sanitation efforts at this time, we will be locking down our trash rooms in Residence Halls, effective immediately. Students should take all trash and recycling to outdoor dumpster locations. Lounges in Residence Halls will also be closed in an effort to encourage social distancing. Desk Operations will have limited hours from 9 a.m. to 6 p.m. each day until Friday, March 20. All packages will need to be picked up during these hours.

If I’m granted an exception to remain on campus, will Dining Services be available?

Yes. The university is not closing at this time or ceasing essential operations. Dining Services will be open to serve remaining residential students as well as faculty and staff who need to be on campus. Check the Dining Services website for hours of operation.

Can I self-quarantine or self-isolate in my resident space?
Self-quarantining or self-isolation is not allowed on the UIS campus. Students who believe they need to self-quarantine or self-isolate must notify UIS Health Services as soon as possible. Self-quarantined or self-isolated students may not physically return to campus or physically participate in any university activity without undergoing evaluation and receiving clearance from Health Services. If you are currently under a self-quarantine or self-isolation at an off-campus location, please indicate that on the UIS COVID-19 Residence Life Closing Form and indicate a need to retrieve your belongings and complete your checkout at a later date.

Will Online Room Selection for 2020-2021 still take place?
Yes, access times for online room selection will be posted by 5 p.m. March 19. Online Room Selection will take place on Thursday, March 26, and Friday, March 27, based on your access time.

We realize this is a disruptive and challenging time—a time that is stressful for everyone. We greatly appreciate your cooperation as we take these necessary steps to ensure the health and safety of all members of the UIS community.
