Academic Affairs Staff Position Requests

Overview

Academic Professional (AP) positions are vested in the University of Illinois Springfield. Whenever an AP position within the Division of Academic Affairs becomes vacant (for any reason), the position and its associated funding revert to the Office of Academic Affairs. Civil Service (CS) positions are vested in the University of Illinois Springfield through the State of Illinois. Whenever a CS position within the Division of Academic Affairs becomes vacant (for any reason), the position and its associated funding revert to the Associate Provost for Budget and Planning.

Position Request Process

  1. The reallocation of the AP/CS position may be requested by the department or unit in which the vacancy originated using the online Academic Affairs Staff Position Request form.
  2. The unit head or designee will complete the AP/CS position request form, and the unit head will submit the form, providing the rationale for the return of the AP/CS position to the department or unit to the Dean/Director.
  3. If the Dean/Director support(s) the request, the form will route to the Provost.
  4. The Provost will also evaluate the rationale for the return of the AP/CS position, taking into account the recommendation of the Dean/Director. If the Provost concurs with the Dean/Director and unit head, the AP/CS position will be reallocated to the department or unit.
  5. The position description (PD) may then be updated/created and uploaded to Hire Touch for HR/Classification review.
  6. If the Dean/Director does not recommend reallocation of the AP/CS position to the requesting department or unit, a rationale for the denial shall be provided and forwarded to the Provost.  Rationales are likely to be based on the Dean’s/Director’s professional judgment about changing patterns of demand associated with the position, consideration of the fiscal state of the college or University, or a planned strategic redirection of resources.
  7. The Provost will evaluate the justification for the denial of the AP/CS position taking into account the recommendation and rationale provided by the Dean/Director. The Provost’s decision is final.
