SPACE REQUEST DEADLINES ENFORCED FOR STUDENT ORGANIZATIONS!!!

Deadlines were established earlier this academic year regarding the submission of space request forms by student organizations. Numerous exceptions have been made by various campus departments to assist students in planning last-minute events. However, with more and more events taking place on this campus, such last-minute planning is no longer possible. For this reason, Student Life will be adhering to their established deadlines from this point forward. These deadlines are as follows:

· Event requests submitted 4 weeks in advance (and meeting all appropriate UIS and Student Life policies) WILL be processed.

· Event requests submitted 2 weeks in advance MAY be processed, depending on the facility/technical needs involved in the event.

· Event requests submitted less than two weeks in advance WILL NOT be processed.

· THE ONLY EXCEPTION to the two-week rule involves table reservations in the main con-course and/or bake sales. The deadline for such reservations is one week.

Questions regarding this policy may be directed to Cynthia Thompson, Director of Student Life, at 206-6665.

Applications Available for Student Commencement Speaker

The student commencement speaker is an important tradition for UIS. All graduating students are invited to audition for this honor and responsibility. Auditions are scheduled for Tuesday, March 27, 2007, from 1:30 to 4:00 p.m. in University Hall Building, Room 2008. Speeches for the audition should be no longer than five minutes and should be presented in their entirety. Speeches will be evaluated by a faculty/student committee for clarity of expression, delivery, timing, and appropriateness and relevance of the topic as representative of the graduating class. If you would like to audition to be the Student Commencement Speaker, please fill out an application form. Forms are available in various locations across campus, including the Student Life Office. Return the completed form to Brian Clevenger, UIS Registrar, in the Office of Records and Registration, UIS, UHB 1076, no later than March 20, 2007

Reminder of Policy Regarding Food Waivers for UIS Events

It is university policy that UIS Food Services is to provide the food at all events held on the UIS campus. Since special conditions sometimes exist which preclude student groups from being able to use UIS Food Services, the “Request to Waive Catering” form was implemented. The approval of this form provides exceptions for student groups allowing them to bring in donated food from outside vendors or sponsor potlucks in place of catered events. It also allows students to receive permission to purchase food/catering services from other entities when they are able to provide less expensive food options (as determined after comparing cost estimates from UIS Food Services with those of other companies/ restaurants). This process is not being followed as student groups are making arrangements with other food service entities & then submitting the catering waiver form for approval. With a few exceptions*, ALL student groups MUST contact UIS Food Services at least 1 week prior to their event (3 days for smaller events) to discuss their food/catering needs. This is to be done BEFORE any arrangements have been made to order food or hire the services of other restaurants/caterers. Failure to do so will result in waiver requests being denied. If you have any questions about this policy, please contact the Director of Student Life at 206-6665. *Exceptions include meeting refreshments, potlucks (events in which the student members are cooking and/or providing the food) and events in which food is donated by local businesses.
