Student Employment Procedures
All student workers must be enrolled at UIS for at least six
hours in the spring and fall and three in the summer. If you
have worked as a student worker in the spring but do not take any
classes in the summer, your job must be changed to extra help for
the summer semester. (Extra help workers have FICA/medicare deducted
from their checks while student workers do not. )
To work as a student worker, your first step is to visit the
Student Employment Currently Available Jobs page on this
site to find out what jobs are available.
They will be
listed in red. (To find a job
description, you may click on the department name and this will
take you to a page of job descriptions; remember
only the jobs
listed in red on the Currently Available
Jobs page are being
filled.) This page will also tell you how to apply for
the job. Some departments will interview immediately while
others want to review resumes before choosing applicants. (For help with writing a resume, please contact Career Services
at 217-206-6508.)
If the department requests a resume, these will be reviewed and
selected applicants will be invited to interview. If the department calls you to schedule an interview, you
need to come to the the Student Employment office in UHB 1030 before
this interview to
obtain an Application for Student Employment. You will take this
with you to the interview.
Once you have obtained a job, you will need to return to the
Student Employment office to do the required I-9 form. Be sure to have two of the forms listed on
the I-9 form with you when you come to Student Employment this
time. Most common forms used are either your student ID, state ID, or
a U. S. Passport as well as either a certified copy of your
birth certificate (from a government agency) or a social
security card.

You will receive a link to Nessie sent to your UIS e-mail by
your hiring department where you will do the other required forms.
Once hired, an International student will need to schedule
an appointment with the International Student Services Office.(HRB

To do so , you need to call 206-6678. Be sure to take your I9 form as well as your visa, passport, I94 and any
other visa forms.
If you do not have a social security card, you will need to
request a letter from the department hiring you. The hiring
department must use the supplied template to type the letter
and they must sign it before giving it to you. Next, this is
taken to the International Student Services office for their
signature. Finally, you will take this
letter along with your passport, I-20, and I-94 to the social
security office at 2715 West Monroe, near the corner of Monroe
and Veterans, to apply for a card.
Once you have a social security card, you need
to complete the Foreign National Tax Information form in the Payroll Office (BSB 105)To
schedule an appointment with the Payroll Office, you should call
either 866-476-3586 or 265-6363. Be sure to have your passport
and visa information with you as well as your social
security card when you go there.
Once you obtain a job, you need to do
a timesheet. If your department does timesheets using
the department entry method, you will do a hard copy timesheet.
Be sure to fill in the dates and hours you work for each
two week pay period and total your hours at the bottom.. Be
sure to sign the timesheet and have your supervisor sign it.
Submit this timesheet to whomever enters your hours into the payroll
system (Check with your supervisor). If
you do web entry of your time. your supervisor will explain
how it is done. A timesheet is due on the final day you work
for that pay period (Be aware it could be a little earlier
near the Thanksgiving and Christmas holiday).

submitted to your supervisor. It can not be submitted online.
You will need to delete the entries to enter your name and
dates.
Once your appointment
is in the payroll system, you will be paid every other Wednesday. This
is the same week that your timesheet is due for the next
pay period).
