Clerk Typist/Mailroom

Job Description: Responsible for assisting secretary in processing of recruitment mailing.  Perform routine office procedures such as filing, copying, typing, errand running, data entry and answering the phones.

Qualifications:  Must be able to type on both a typewriter and a computer.  Familiar with general office filing.  Able to follow office policy and procedures.  Able to follow directions.

Clerk Receptionist

Job Description:  Responsible for assisting secretary by answering telephones, setting up appointments, and directing visitors. Will also perform computer functions, such as data entry and clean up.

Qualifications: Must be able to use multi-line phones, have excellent customer service skills, and be familiar with computers.  Able to follow office policy and procedures.  Able to follow directions. Dependable. Must speak excellent English,and have a thorough understanding of English, preferably have had at least one previous semester in the U.S. if an international student.

Student Ambassador

Job Description:  Conducts tours for guests and prospective students  daily and at UIS Preview Days.  Makes contact with prospective students. Helps host Board of Trustees. Assists with campus receptions. Helps with welcome Activities during First Week. Helps plan and produce Preview Days; serves as greeters and helps students mingle.  General clerical/light manual assistance to the Office Of Admissions/Records.  Must be able to perform common office duties and light manual assistance as needed. Other duties as assigned.

Qualifications:  Good interpersonal and communication skills. Possess basic office skills. Good public speaker. Flexible schedule(work some Saturdays and evenings.) Friendly and outgoing. Knowledgeable about UIS.

Financial Aid

Financial Aid Assistant-Front Counter

Job Description: Assistant needed to primarily answer phones and greet persons at the Financial Aid counter front desk.  Other duties as assigned.

Qualifications: Must have exceptional telephone skills. Must have good verbal skills with fluent English. Must be good with people. 

Financial Aid Assistant

Job Description: Provide exceptional customer service at front desk by politely answering calls/questions from walk-ins.  Maintain confidentiality of all information received in the office. Learn to use the SAMS system.   Create new files and accurately file. Keep files and file room organized.  Contribute positively to team environment.  Learn the “basics” of applying for financial assistance.  Assist with mailings. Other assignments as needed.

Qualifications: Detail oriented,  good telephone skills, dependable and punctual.  A typing & filing test will be given at the time of interview- accuracy a must.  Willingness to sign a statement of confidentiality.  Applicant must have and maintain satisfactory academic progress. Must be willing and able to work  20 hours/week. Preference given to applicants awarded federal work study funds and who have previously worked in an office.

America Reads*America Counts Tutors

Job Description:  Help students individually or in small groups with reading or math. in local elementary schools. Students will be no older than 11 or 12 years old. Work will be given to the tutor by the classroom teacher. Tutors should spend the majority of their time helping students, not grading papers, running off copies of papers, etc. Only federal work study funds are available for these

Qualifications: Must be awarded federal work study as part of their financial aid.  Must have a 2.5or above cumulative grade point average if an undergrad and 3.0 if a graduate student. .

Records/Registration


Records Clerk

Job Description:  Responsible for all filing for the Office of Records and Registration.   Will also assist full-time staff with various tasks including but not limited to copying, mailings, and other routine office tasks.  This employee will also provide backup customer service at a busy counter including providing assistance to students attempting to register in person, by telephone, or via the web.

Qualifications:  Must be familiar with general office filing, have basic word processing skills, and be able to deal with confidential records.  Must show attention to detail and accuracy is a must.  Excellent communication, organizational, interpersonal, and telephone skills are essential.  Must be responsible, dependable, motivated, and willing and able to work under pressure in a multi-task environment.  The individual must also have the ability to  learn complex policies and procedures.

Records Registration Clerk

Job Description: Individual will provide assistance to students attempting to register (in person, via telephone, and via Web Registration).  Will prepare and send advising files, mail official transcripts to students, and assist with all records and registration mailings.  Individual will provide faculty, staff, and students with information concerning policies on academic grading, probation, registration, course withdrawals, and refunding.  Individual serves as a customer service representative at a busy counter.  Individual is also responsible for all student records and registration filing and other duties as assigned.

Qualifications:  Excellent communications, organizational and telephone skills.  Individual must be responsible, dependable, motivated, and willing to work well under pressure in a multi-task oriented environment.  Experience dealing with people in stressful situations and an ability to learn complex policies/procedures is a must.  Individual must be familiar with general office filing, have basic typing skills, and be able to deal with confidential records.  Excellent phone etiquette is also required.
